A participant who is not correctly enrolled when a meal is claimed produces an enrollment form failure, and those meals come off the claim. The example we use in our own disallowance training is a single participant with no enrollment on file: one breakfast and one supper, both disallowed.
Two things make that easier to stay ahead of than it sounds.
- You get 60 days notice. CenterPilot names the participants whose forms are coming up for expiry and the date each one expires, so renewals are a scheduled job rather than something you find out about while working a claim.
- Incomplete is visible. A participant whose paperwork is missing or half-finished shows in red until both the enrollment form and the meal benefit form are complete. If your sponsor spots a gap in something you already sent, an eligibility alert appears against that participant, so a form that went in with blanks does not sit there unnoticed.
The meal benefit form is the one with money attached. A new participant defaults to paid until the income eligibility form is processed, and paid participants pull your blended rate down. Filing it late risks a disallowance and lowers what every meal is worth in the meantime.

What is the difference between an enrollment form and a meal benefit form?
